Sales Support Speacialist

About the Role
The successful candidate will be responsible for supporting sales processes, commercial coordination, and order management in industrial markets. This role covers preparing quotations, tracking orders, conducting market analysis, and managing documentation workflows while ensuring smooth communication across internal and external stakeholders. You will follow up on the operational and administrative lifecycle of sales, including inquiries, offers, proforma invoices, system entries, and delivery tracking.
Responsibilities
Prepare and issue accurate, high-quality, and consistent quotations based on the customer feedback received from the sales teams,
Support the sales team by preparing comprehensive documents, including after- sales service details for customers,
Provide proactive administrative and follow-up solutions to sales teams, enabling them to focus on client engagement and business development,
Issue proforma invoices, and accurately record/revise sales orders, customer profiles, and communication history within the ERP and CRM systems,
Track formal tender processes and proactively forward relevant opportunities to the Sales teams,
Monitor order approval processes, manage commission records, and make necessary budget entries.,
Conduct market and competitor analysis to follow industry trends and support business development activities,
Act as a key point of contact for internal teams and external stakeholders, helping deliver a seamless client experience,
Maintain accurate customer, order, and communication history in ERP and CRM systems,
Track validity dates of official commercial documents and ensure proper archiving for records,
List current sales and prepare periodic reports on sales pipelines, market intelligence, and reporting metrics,
Coordinate sales meetings, events, and related logistics, ensuring all activities run efficiently and professionally.
Requirements
4-year university degree in Business Administration, International Trade, Engineering, Supply Chain, Procurement, Sales, or a related field,
Minimum 3 years of experience in sales support, commercial coordination, customer care, or an administrative sales role,
Professional communication ability in both Turkish and English is strictly required (written and spoken),
Experience in Oil & Gas, Industrial Supply, Energy, Automation, Infrastructure, Manufacturing, Marine, Construction, Machinery, or Heavy Industries is highly preferred,
Proficiency in ERP, CRM, RFQ management, reporting, documentation control, and Excel,
Strong organisational skills with the ability to manage multiple priorities effectively,
Excellent attention to detail and a commitment to producing high-quality work,
Comfortable working in fast-paced, international, and high-pressure environments,
Must be currently residing in Baku, Azerbaijan.
Nice to Have
Experience in spare parts, machinery, industrial equipment, automation products, or technical supply solutions,
Knowledge of industrial sourcing, aftermarket operations, equipment supply, and cross-border trade operations,
Russian, French, Dutch, German, Arabic, or Spanish language skills are an advantage,
Previous experience working cross-functionally across multi-cultural internal teams.
